Overview
When an employee leaves your organization or no longer needs access to Prodoscore, you should update their status to free up the license and properly handle their data.
Steps to Remove an Employee

Go to Settings in the left menu.

Click Employees and find the employee you'd like to remove.

Change their User Role to one of the following options:
- Not Activated: Preserves all historical data, frees up the license, and moves the employee to the "New Employees" section. Use this for temporary deactivations or when you want to retain data.
- Terminated: Does not preserve data, frees up the license, and moves the employee to the "Terminated" section. Use this for permanent departures where data retention is not required.
Warning: Selecting Terminated permanently removes the employee's historical data. This action cannot be undone. If in doubt, choose Not Activated to preserve the data while still freeing the license.
Reusing the License
Once an employee is set to Not Activated or Terminated, their license becomes available immediately. You can assign it to a new employee via Settings > Employees > New Employees.
