Screenshot Encryption & Compliance Settings
IMPORTANT CAVEAT: Screenshots are an optional add-on feature that is OFF BY DEFAULT. This feature must be explicitly enabled by an admin and requires the Screen Details add-on. Screenshots should only be enabled in compliance with your organization's policies and applicable employment law. Always inform employees if screenshot capture is active.

Screenshot Capture Frequency

When enabled, screenshots are captured at intervals configured by the admin (ranging from 5 minutes to 2 hours maximum). Capture occurs only during punched-in hours — screenshots stop immediately when an employee punches out. Ensure employees understand the capture frequency as part of your transparency commitment.

Encryption Options

Standard Encryption (Default): Screenshots are encrypted at rest in Prodoscore's Google Cloud Platform storage using AES-256 encryption. Thumbnail previews are displayed in the dashboard unencrypted for usability.

End-to-End Encryption (Enhanced): Navigate to Settings > Compliance > Screenshot Encryption to enable end-to-end encryption. When enabled:

  • Screenshots are encrypted with a key that your organization controls — not Prodoscore
  • Even Prodoscore cannot decrypt the full-resolution screenshots without your key
  • Thumbnail previews in the dashboard remain unencrypted for viewing
  • Downloaded screenshots remain encrypted and require your key to decrypt

This provides additional security if your organization handles highly sensitive data or operates in a regulated industry.

Download Controls

Screenshots Download Permission: Navigate to Settings > Compliance > Screenshots Download to control whether users can download screenshots.

  • Enabled (Default): Admins and managers with appropriate permissions can download individual or bulk screenshots
  • Disabled: Screenshots can be viewed in the dashboard but cannot be exported or downloaded locally. This prevents screenshots from leaving Prodoscore and reduces exposure of sensitive screen content.

Screenshot Dashboard Views

After enabling screenshots, three tabs appear in the Screenshots dashboard:

All Screenshots: Every screenshot captured across your organization (filtered by team and date). View, flag, or download.

Flagged: Screenshots that have been flagged (marked for review) by any admin or manager in your organization.

Flagged by Me: Screenshots that the current logged-in user has flagged, making it easy to track your own reviews and concerns.

Screenshot Detail View

Click on any screenshot thumbnail to open its detail view. The detail shows:

  • Timestamp of capture
  • Activity level percentage at time of capture
  • Active application and URL
  • Key press and mouse click counts during that time interval
  • Options to flag, download, or share the screenshot
  • Activity log for the time period the screenshot represents

Disabling Screenshots for Individual Employees

Even if screenshots are enabled org-wide, admins can disable them for individual employees who have requested exemption (e.g., for privacy reasons or due to role sensitivity). Navigate to Settings > User Management > Users > [Employee] > Modify User > Screenshot Capture and toggle off to exempt that employee.

Employees with screenshot capture disabled will not have screenshots taken on their device, but all other monitoring continues normally.

Compliance Checklist

Informed Consent: Have you notified employees that screenshots are being captured? Include frequency and purpose.

Legal Review: Has your legal/HR team reviewed the use of screenshots under applicable employment law in your jurisdiction?

Security Controls: Have you configured download restrictions and/or end-to-end encryption per your security policy?

Data Retention: Do you have a clear deletion schedule for screenshots (e.g., 30 days, 90 days) and have you configured it in Prodoscore settings?

Audit Trail: Have you designated who can view/flag screenshots and ensured they understand the responsibility?
