Understanding Licensing

How Licensing Works

Every active user in Prodoscore requires a license. A license grants the user the ability to log in, view dashboards, and (if their visibility is set to Visible) have their activity captured and scored.

Who Needs a License?

  • Employees whose activity is being tracked: Require a license to appear in the platform and have a Prodoscore.
  • Managers: Require a license to log in and view their team's data.
  • Admins: Require a license to access settings and manage the platform — even if their own activity is not tracked.
  • Executives (Hidden users): Require a license to log in, even if their Visibility is set to Hidden.

Reusing Licenses

Licenses can be reused when an employee is deactivated. To free up a license:

Go to Settings > Employees and find the departing employee.

Change their User Role to Not Activated (preserves their historical data) or Terminated (removes their data).

The license is now available to assign to a new employee.

Note: Choosing Not Activated preserves historical data and lists the employee under New Employees. Choosing Terminated removes their data permanently and lists them under Terminated.

Checking Your License Usage

Admins can view current license usage in the Settings > Employees section. The count of active (Visible + Hidden) employees reflects your current license consumption.
