Setting Up Alerts

Alerts proactively notify managers and admins when predefined conditions are met during the workday. Set up alert rules at Settings > Emails & Alerts > Alert Rules.

Creating an Alert Rule

1 Navigate to Settings > Emails & Alerts > Alert Rules

2 Click "Add Alert Rule" in the top right

3 Fill in the alert rule form:

  • Rule Name: A descriptive name (e.g., "High Inactivity Alert")
  • Description: Details about what this rule monitors
  • Alert Rule Type: Select one of the five types below
  • Email Recipients: Add email addresses of people who should be notified (comma-separated)

4 Configure type-specific settings (see Alert Types below)

5 Click "Save"

Alert Types

Absence Alert: Triggers when an employee is marked absent during their scheduled shift. Configuration: select which days to monitor, set recipient email.

Inactivity Alert: Triggers when an employee has been idle (no keyboard or mouse activity) for a specified duration. Configuration: set threshold duration in minutes (e.g., 60 minutes = trigger after 1 hour of no activity).

Application Alert: Triggers when a specific application is opened. Configuration: select one or more applications from the dropdown list. Alert fires when any selected app is detected.

URL Alert: Triggers when a specific website is accessed. Configuration: select one or more URLs from the list. Alert fires when any selected URL is visited.

Overtime Break Alert: Triggers when an employee exceeds the configured break time for their shift. Configuration: select team, select break type (e.g., Lunch, Tea), set max break duration in minutes.

Managing Alert Rules

  • Clone a Rule: Click the kebab menu (⋯) next to an existing rule > Clone. Useful for creating similar rules with minor changes.
  • Edit a Rule: Click the pencil icon (✎) to modify an existing rule. Changes take effect immediately.
  • Delete a Rule: Click the kebab menu > Delete. Confirmation required.
  • View Triggered Alerts: Go to the Alerts dashboard in the left navigation to see all triggered alerts with timestamps and details.

Alert Notifications

When an alert rule is triggered:

  1. An email is sent to all configured recipients within minutes
  2. The alert appears in the Alerts dashboard with date, description, type, and who it was triggered for
  3. Alerts remain in the dashboard for historical reference and can be filtered by date or alert type
Best Practice: Start with a small number of focused alert rules. Too many alerts lead to alert fatigue. Use them strategically to monitor only the highest-priority behaviors your organization cares about.
