Introducing Desktop Connect to Your Team

Rolling out employee activity monitoring requires transparent, proactive communication. Here's a recommended plan to introduce Desktop Connect successfully.

Step 1: Brief the Leadership Team

Start with C-suite, CEO, and senior leadership. Address their concerns:

  • Why are we doing this? Business case (productivity insights, resource optimization, data-driven coaching)
  • What will it cost? Subscription pricing and implementation costs
  • Legal/HR implications? Compliance with employment law (consult your legal team)
  • Employee privacy concerns? Transparency and limited collection approach
  • Success metrics? How will we measure success? (e.g., improved productivity %, better coaching conversations)

Get leadership's explicit approval and alignment before moving forward.

Step 2: Engage Managers

Train managers on how to use Prodoscore before employees are notified.

Manager Training Topics:

Step 3: Company-Wide Announcement

Schedule a town hall or all-hands meeting to introduce Desktop Connect to the entire company. Key messages:

"Why Desktop Connect?"

We're implementing Prodoscore Desktop Connect to gain deeper insights into how we spend our time at work. The goal is to understand productivity patterns, identify bottlenecks, support individual growth, and make better decisions about resources and workload. This is about coaching and development, not surveillance or control.

"What Does It Measure?"

Desktop Connect tracks which applications you use, which websites you visit, and when you're active vs. idle. It measures the time you spend on productive work vs. distractions. It does NOT read what you type, log private messages, access your camera, or record audio. You stay in control of your privacy.

"What Can Employees See?"

Every employee has a personal dashboard where you can see your own attendance, productivity metrics, and activity data. You can understand how you're being measured. This transparency is intentional — we want you to own your data and make informed decisions about your work patterns.

"How Will Managers Use This?"

Managers use Prodoscore data to recognize high performers, identify coaching opportunities, and have informed conversations about productivity and workload. Hard work is recognized, even when you're working remotely. The goal is to help you succeed, not punish you.

"Privacy and Trust"

Your data is encrypted, access is controlled, and we comply with privacy regulations (GDPR, etc.). We will not share your data with external parties. Your trust matters.

Step 4: Q&A Sessions

Host live Q&A sessions with managers and HR on hand to answer questions. Common questions:

Q: Is this spyware?

A: No. Spyware hides from the user. We're transparent about what we're measuring. Employees can see their own data and understand how they're measured.

Q: Will I be punished for low productivity?

A: No. Productivity metrics are used for coaching and development. The focus is on understanding your workload and supporting your success, not punishment.

Q: Can my manager see my private messages?

A: No. We only see that you used Slack (for example) — not the content of your messages. Your message content is never read or stored.

Q: Can I opt out?

A: Desktop Connect is company-wide. However, talk to your manager if you have specific concerns. Accommodations may be available.

Q: What about my personal projects or side work?

A: Data is collected during your work hours while you're punched in. After you punch out, nothing is tracked. You have clear boundaries.

Step 5: Deployment

Deploy the Desktop Connect agent to employee devices via Group Policy, MDM, or manual installation. Provide clear instructions and support (IT helpdesk, Prodoscore support contact).

Step 6: Post-Rollout Support

Week 1: Monitor for installation issues. Have IT and Prodoscore support ready to help.

Week 2-4: Share early insights with the team (e.g., "Team productivity is at 82% — great start!"). Celebrate wins.

Month 2+: Use data for positive coaching. Highlight top performers, offer support to those struggling, and iterate on Productivity Rules based on team feedback.
